Delta Sigma Pi is expanding its team and hiring an Administrative Support Team Leader and an Educational Leadership Consultant.
Administrative Support Team Leader
This person is responsible for directing and guiding the team to ensure the efficient execution of daily administrative responsibilities. This position delegates assignments and monitors deadlines, quality of work, and capacity of all team members. This role will provide mentoring and ensure a collaborative approach from all administrative team members. This role also serves as an individual contributor for the administrative services team, including answering phones, greeting visitors, updating the membership database, and backing up other members of the administrative team.
Responsibilities:
- (25%) Provides direction and guidance on the day-to-day activities of the administrative team. This work may include, but is not limited to:
- Prioritizing assignments and monitoring the completion of tasks
- Facilitating collaboration across team members to ensure all activities are completed in a timely manner and with the highest quality
- Mentoring team members to enhance their skills and professional growth
- Providing constructive feedback and coaching on daily activities
- Resolving conflicts across team members and building a culture of collaboration
- Escalating team performance issues or options for improved efficiency to the Manager of Communication & Shared Services
- (25%) Oversees and executes plans to ensure high-quality administrative support for all events. This work may include, but is not limited to:
- Coordinating responsibilities and tasks across team members
- Completing assignments to ensure strong support for all events
- Developing timelines and delegating tasks to ensure all copying, shipping, and registration processes are completed
- (15%) Serves as the primary in-office receptionist for the Central Office location. This work may include but is not limited to:
- Greeting guests and ensuring a positive experience
- Answering phones and directing calls to the appropriate staff member
- Coordinating in-office support needs, such as IT issues and facilities maintenance
- (35%) Completes other shared administrative tasks to support the daily operations of the organization. This work includes, but is not limited to:
- Supporting membership database updates as the primary owner
- Processing updates to member profiles, addresses, and other relevant details
- Coordinating the ordering of supplies and tracking inventory to ensure items are on-hand as needed
- Serving as a secondary resource on processing and shipping merchandise sales
- Providing administrative support to the chapter services team, including the preparation of discipline letters
- Supporting administrative needs of other staff members
- Preparing and processing shipping of materials for events, chapter needs, and other items
Educational and Leadership Consultant
This individual is responsible for providing operational recommendations and leadership training to members in collegiate and alumni chapters, as well as startup groups. This role will facilitate small and large group meetings (in person and virtually) with chapter officers, faculty, institution administration, volunteer leaders, and other key stakeholders in order to identify the strengths and opportunities for improvement for each chapter, identify and share best practices, make recommendations to improve performance, and provide training on processes and policies needed to be successful. The role of the consultant is to advise chapters and individual members on improving member engagement, faculty relations, recruiting, compliance with policies and risk management, financial health, effectiveness of chapter events, and various other facets related to the long-term success of a chapter and individual members.
This role requires travel and operates independently to create and communicate recommendations to a chapter. Individuals in this position are required to demonstrate a high level of independent decision-making. As a key representative of the Fraternity, they are responsible for addressing risk management issues and have the authority to take action if activities are potentially damaging to an individual, chapter, or the Fraternity.
Responsibilities
- Develops educational and operational recommendations and delivers leadership training for collegiate and alumni members, chapter officers, and startup group members. These responsibilities may include, but are not limited to, the following duties:
- Executes all necessary activities related to chapter consultations, including chapter research, pre-meeting materials, officer meetings, school administration/faculty meetings, chapter presentations, and follow-up recommendations through chapter reports.
- Evaluates the overall health of a chapter and creates recommendations to improve chapter performance, member engagement, recruitment, finances, and all other facets of chapter operations and leadership.
- Initiates communications and responds to member inquiries and correspondence.
- Reviews pledge education programs and makes recommendations based on best practices and Fraternity policies. Responsible for providing direction to chapters to ensure compliance.
- Represents Fraternity and establishes relationships with the Deans, Faculty, and Administration of the College of Business and Student Affairs to support all phases, including expansion services, professional activities, and recruiting efforts.
- Participates in programs for educational training. This includes supporting all activities related to planning, preparation, and execution of the Fraternity's functions. These responsibilities may also include addressing issues for members, hotel staff, and other vendors.
- Responsible for official regalia, including inventory, cleaning, repairing, and replacing items as needed.
- Represents the Fraternity on official tours of the Central Office facility.
- Creates, improves, updates, and maintains leadership displays, presentation materials, and historical archives.
- Assists in the development of publications and communications.
- Performs other duties as assigned by the Director of Chapter Services and/or Executive Director.
